Project planning

What determines a good painting scope

Surface preparation is part of the finish

Paint quality cannot compensate for peeling coatings, dirty surfaces, failed caulking, stains or damaged drywall. Describe the existing surface and any known moisture or mildew issues. For exterior work, identify siding or trim material and areas where coatings are failing; for interiors, note repairs, stains, high ceilings and occupied rooms.

Specify what is being painted and what is protected

A complete scope should identify walls, ceilings, trim, doors, closets, cabinetry or exterior components separately. Ask whether furniture moving, floor protection, masking, caulking, sanding and minor patching are included. If colour changes are dramatic, the number of primer or finish coats may differ from a same-colour repaint.

Compare prep and coating systems, not price per room

Check product line, sheen, primer, number of coats, spray versus brush/roll assumptions and repair allowances. Exterior quotes should also explain weather-dependent scheduling and how bare wood or failed sealant will be handled. If one proposal includes extensive prep and another assumes sound surfaces, the totals should not be compared as equivalent.

Create a room and surface schedule

For interior work, list each room and mark walls, ceiling, trim, doors and closets separately. For exteriors, list siding, trim, soffits, fascia, doors and railings. Add the current colour and intended colour when known. This simple schedule prevents one painter from including ceilings and trim while another prices walls only. It also makes later colour or scope changes easy to identify without reopening the entire painting estimate.

Define the preparation standard before comparing painters

Painting scope should state surface condition as clearly as colour choice. Count rooms or exterior elevations, note ceiling height, identify peeling, cracking, stains, mildew or previous repairs, and specify whether trim, doors, ceilings and closets are included. Exterior projects also need access information such as steep grades, upper-storey work and landscaping that limits ladder or lift placement.

Compare proposals by preparation, primer, number of finish coats, product line, repairs, caulking, masking, cleanup and exclusions. A quote that says only “prep and paint” does not tell you whether the contractor priced spot priming, full priming, sanding, patching or extensive scraping.
